  • Best Virtual Assistant Companies: Our Honest Rankings

How to Read a VA Company Ranking

Most “best of” lists use vague criteria — “quality,” “reliability,” “customer service” — without defining what those mean or how they were measured. Here’s what actually matters when choosing a VA company, and what we used to evaluate each option.

Placement model. How does the VA work for you — dedicated (exclusively yours), shared (split across multiple clients), or marketplace (you hire directly from a pool)? This affects consistency, context-building, and the quality of the ongoing relationship.

Vetting and quality control. How does the company select VAs? What does training look like? What happens if the placement doesn’t work?

Management overhead. How much do you have to manage? Some models hand you a VA and walk away. Others provide ongoing support, performance accountability, and relationship management.

Pricing transparency. Is the pricing clear before you engage, or does it only become clear after a sales call?

Replacement policy. If the VA isn’t working, what’s the process and cost of replacing them?

Time zone coverage. Where are VAs based? Does their working day cover yours?

With those criteria clear, here’s the breakdown.

The VA Company Landscape: Model Types

Before individual companies, understand the three fundamentally different models in the VA industry. Choosing the wrong model is a bigger mistake than choosing the wrong company within the right model.

    Model 1: Managed Placement Agencies

You work with an agency that matches you to a dedicated VA, manages the relationship, and provides ongoing support. You get one VA who exclusively serves you. The agency handles recruitment, vetting, and performance accountability.

Best for: Executives and business owners who want a genuine long-term EA relationship, need consistent quality, and don’t want to manage the hiring process themselves.

Trade-off: Higher cost than marketplaces. Less flexibility in rapidly scaling up or down.

    Examples: VAConnect, Boldly, Belay

    Model 2: Shared VA Services

You purchase a package of hours. Multiple clients share a pool of VAs. Tasks are assigned to whichever VA is available.

Best for: Businesses with episodic, task-based needs — transcription, data entry, scheduling — where consistency and relationship depth aren’t critical.

Trade-off: No dedicated VA means no context-building. Every task starts from scratch. Quality is inconsistent across tasks.

Examples: Time Etc, Fancy Hands, Magic

    Model 3: Talent Marketplaces

You browse a pool of VA profiles and hire directly. The marketplace facilitates the transaction; you manage the relationship entirely.

Best for: Experienced remote team managers who know how to hire, onboard, and manage virtual workers independently.

Trade-off: All recruitment, vetting, and management responsibility falls on you. Quality varies significantly; you don’t know what you’re getting until you’ve hired.

Examples: Upwork, Fiverr, Virtual Staff Finder, OnlineJobs.ph

    The Rankings: Managed Placement Agencies

    VAConnect

Model: Managed placement — dedicated VA, full agency support
    Based: South Africa
    Serving: UK, US, Australia, Europe
Price range: listed on the pricing page

VAConnect has been placing professional VAs since 2008, in a market where most VA companies are five years old or less. The focus is on long-term EA-quality placements for executives, founders, and professional services businesses.

    What’s genuinely strong:
The VAPI System (VA Assessment, Placement, Integration) is a structured methodology — not just a casual matching process. Nikki, VAConnect’s Talent Acquisition Manager, does a strategy-first intake before recommending anyone. The question isn’t “who’s available?” but “who’s right for this specific executive’s working style, business context, and personality?” That distinction shows up in our 98% client retention over 14 months, verified from our invoice records, which is significantly higher than industry average.

VA Varsity — VAConnect’s internal training programme — means VAs arrive pre-calibrated for international professional work rather than learning on the client’s time. The Atomic Energy framework is designed to prevent the burnout that kills long-term VA relationships.

Current VAConnect packages are listed on the pricing page.

Where it’s not the right fit:
VAConnect isn’t right for businesses that need a VA for 10 hours of monthly task work. The model is built for meaningful ongoing relationships — at minimum a part-time engagement. If you’re looking for occasional task help, you’ll pay for capacity you don’t use.

Best for: Executives and founders in the UK, US, or Australia who want a professional, long-term EA relationship and are ready to invest in one.

    Boldly

Model: Managed placement — dedicated VA, US/European talent
Based: US-centric, talent in US and Europe
    Serving: Primarily US, some UK
Price range: From ~$1,500/month for 10 hours to ~$3,000+/month for full-time

Boldly occupies a premium position in the US market. They hire VAs as employees (not contractors), which they emphasise as a differentiator — the argument being that employee VAs are more committed and better protected.

    What’s genuinely strong:
High-quality talent pool. The employee model does tend to produce more stable and professional VAs than contractor-heavy alternatives. Good reputation in the US market for executive-level support.

Where it’s not the right fit:
The employee model means higher costs — you’re partly paying for US or European employment overhead. For UK clients, the coverage and familiarity with UK business norms is weaker than South Africa-based alternatives. The model doesn’t offer the same cost advantage as offshore options.

Best for: US executives who want premium VA support and are willing to pay a premium for US-based talent.

    Belay

Model: Managed placement — dedicated, US-based talent
    Based: US
    Serving: US primarily
    Price range: From ~$1,750/month

Belay is one of the better-known US VA agencies, focused primarily on executive assistants and bookkeepers. Their talent pool is entirely US-based.

    What’s genuinely strong:
Strong brand reputation in the US. Consistent talent quality. Good for businesses that specifically want US-based support — cultural familiarity, US time zones, domestic legal simplicity.

Where it’s not the right fit:
The cost is US-market pricing with no offshore cost advantage. For businesses where the VA is doing tasks that don’t require US-based knowledge, you’re paying more than you need to. Limited utility outside the US market.

Best for: US businesses that specifically need US-based EA support and have the budget for it.

    The Rankings: Shared VA Services

    Time Etc

Model: Shared — hour packages, pool of VAs
    Based: US and UK talent
Price range: From ~$29/hour or ~$290/month for 10 hours

Time Etc is one of the more reputable shared VA services. They claim a selective hiring process and market to businesses that want professional support without full-time commitment.

    What’s genuinely strong:
Lower entry point than dedicated placement agencies. Reasonably vetted talent pool compared to unmanaged marketplaces.

Where it’s not the right fit:
Shared model means no dedicated VA — you’re getting whoever is available, not someone who knows your business. Context doesn’t accumulate. For executive-level support where understanding preferences and history matters, the shared model structurally can’t deliver what a dedicated placement provides.

Best for: Businesses with episodic task needs where relationship depth isn’t important — transcription, research tasks, data entry.

    Magic

Model: Shared — on-demand task service
    Based: Distributed
Price range: From ~$10/hour (basic) to ~$35+/hour (dedicated)

Magic started as a text-a-request service and has evolved into a more structured VA offering. The on-demand model is designed for speed and convenience.

    What’s genuinely strong:
Fast response time for one-off tasks. Low friction for simple requests.

Where it’s not the right fit:
On-demand convenience doesn’t translate to relationship depth or consistent quality for complex, ongoing executive support. The model is fundamentally task-based rather than role-based.

Best for: Founders who need occasional quick task help and value speed of response over consistency.

    The Rankings: Talent Marketplaces

    Upwork

Model: Marketplace — you hire, you manage
    Based: Global
    Price range: Highly variable, $5–$100+/hour

Upwork is the largest global freelance marketplace. VA talent is abundant; quality ranges from excellent to very poor. The marketplace charges both sides (client and freelancer fees).

    What’s genuinely strong:
The widest possible selection. If you know exactly what you want and are experienced in hiring and managing remote workers, you can find excellent VAs at competitive rates.

Where it’s not the right fit:
The hiring burden is entirely yours. Vetting, interviewing, onboarding, performance management — all on you. Quality control is your problem. For executives who want to outsource the management overhead, not just the tasks, a marketplace doesn’t solve the problem.

Best for: Experienced remote team managers who want maximum selection and control and are willing to handle the management overhead.

    Virtual Staff Finder

    Model: Marketplace/recruitment — Philippines-based talent
    Based: Philippines
Price range: One-off recruitment fee, then you pay the VA directly

Virtual Staff Finder focuses specifically on Philippines-based VAs. The model is a placement fee; after placement, you manage and pay the VA directly.

    What’s genuinely strong:
Philippines-based VAs are often highly skilled, English-proficient, and cost-effective.

Where it’s not the right fit:
Significant time zone difference from US East Coast (12–13 hours) and UK (7–8 hours). Self-management means all quality control is on you. No ongoing support.

Best for: US West Coast or Asia-Pacific businesses with the management infrastructure to handle direct hiring and significant time zone differences.

The Questions to Ask Before You Choose

    1. Do I want a relationship or transactions?
If you want someone who knows your calendar architecture, your client preferences, your communication style, and your business context — you need a dedicated placement. If you need tasks done occasionally without context, a shared model or marketplace works.

    2. How much management capacity do I have?
Managing a marketplace hire requires real time investment — hiring, onboarding, performance management, replacement if needed. If you want to outsource the management overhead along with the tasks, a managed agency is the only option.

    3. What does time zone compatibility look like?
For UK businesses, South Africa (GMT+2) offers substantial working-hours overlap. For US businesses, South Africa covers early mornings and afternoons on the East Coast. Philippines-based VAs require deliberate async management for US and UK clients.

    4. What’s the actual cost of a failure?
A bad marketplace hire is your problem to fix — your time, your disruption, your cost. A managed agency placement with a replacement guarantee shifts that risk. For executive-level support, the cost of a failed hire — months of lost productivity, re-hiring time, context lost — is substantial.

    5. Am I ready for a full-time placement?
Most VA company models are designed for ongoing, substantive engagement. If you need 10 hours a month, a shared model is more appropriate than a dedicated placement. If you need 20–40 hours per week, a dedicated placement is the only model that delivers genuine context accumulation and relationship depth.

    Frequently Asked Questions

Which virtual assistant companies have the strictest vetting?
Managed placement agencies usually vet hardest, because they stay accountable after the hire. Look for role-specific skills tests, interviews, reference checks and a clear replacement policy. VAConnect, for example, puts candidates through a role-specific simulation before they reach a shortlist. Marketplaces leave most vetting to you, and shared-pool services vary by task.

Is a South African VA as capable as a US or UK-based one?
For the tasks most executives need — email management, calendar management, research, communications, project coordination — yes. South African professionals with international client experience understand UK and US business culture, communicate in native-standard English, and bring genuine professional competence. The cost difference is a purchasing power differential, not a quality differential.

What’s the typical contract length for managed VA services?
Most managed agencies, including VAConnect, use month-to-month arrangements after an initial commitment period (typically three months). This protects you from long lock-ins while giving the VA relationship time to develop.

How quickly can I get a VA placed?
Managed agencies typically take one to two weeks from initial consultation to placement — time needed for proper matching. Marketplaces can turn around in hours, but speed comes at the cost of vetting. The right answer depends on your timeline and risk tolerance.

What if the VA doesn’t work out?
This is a critical question to ask before you engage. VAConnect offers a replacement guarantee within the initial period. Boldly and Belay have similar provisions. Marketplaces: you’re re-hiring from scratch at your own cost. Verify the replacement policy before you sign anything.
