Pricing models compared

Most US virtual assistant pricing falls into one of five models. The model decides who recruits the assistant, who manages them and what happens if they leave.

Pricing model How you pay Who recruits and manages Fits best when
Pay per task Per job or deliverable You brief every task; the platform routes it The work is one-off with a clear output
Prepaid hour bucket A block of hours each month, often spread across several assistants The provider assigns whoever is free Admin is light and irregular
Marketplace hourly hire The individual sets an hourly rate; platform fees on top You screen, onboard and replace them yourself You have time to recruit and supervise
Managed dedicated VA (VAConnect) A fixed monthly package: $1,088 (40 hours), $2,088 (80 hours) or $3,288 (150 hours) for Marketing and Sales We recruit, test candidates in the Boiler Room, onboard, support the seat and replace if needed The work is ongoing and one person should learn your business
In-house US hire Salary plus benefits, payroll taxes and equipment You recruit, employ and manage The role has to be on site or on your payroll

Executive assistant, project manager and team packages are on the pricing page.

What’s included

The monthly package buys a dedicated South African professional plus the VAConnect managed system — recruitment, Boiler Room shortlisting, onboarding, coaching, and replacement path.

  • Dedicated VA matched to your brief
  • Boiler Room simulation; 80% or higher to shortlist, led by Nikki
  • Dual success support — Laurez and Marike
  • VAVarsity, Atomic Energy, and SOP continuity
  • Month-to-month terms and remediate-then-replace path
  • Coverage through midnight SAST at standard rates

What’s excluded

Calling costs are not included. Neither are required platforms, tools, travel, or sundries outside fair-use data. You supply the systems your VA works in.

Excluded Why it matters
Calling / telephony You own the US number and dialler.
SaaS platforms HubSpot, Salesforce, diallers, and LinkedIn tools stay on your accounts.
Travel & sundries Not part of a remote managed retainer.
Excessive data Fair-use policy applies.

For phone seats, you provide credentials, a client email alias, and the US calling number.

vs a US local hire

A VAConnect managed seat is a different cost structure from a fully loaded US local hire — salary, benefits, management time, recruiting, and replacement risk sit differently. Compare total cost of capacity, not a headline hourly alone.

Typical US local hire VAConnect managed VA
What you fund Salary, benefits, tools, management Published retainer plus your tools/calling
Recruiting Your time or an external recruiter Agency process plus Boiler Room evidence
After start Manager load on you Dual success managers and training ecosystem
If it fails Re-hire cycle Remediate then replacement path
Commitment Employment complexity Month-to-month retainer

US buyers want reliability, English on brand-facing work, and someone accountable after day one.

How to choose a tier

Signal Lean toward
Narrow weekly scope Starter ($1,088)
Ongoing half-day capacity Half-Day ($2,088)
High outbound volume, CRM ops, or phone-forward desk Full-Day ($3,288)
Phone live 8–9 hours on a tiny retainer Wrong shape — we say so on the call

Eastern / Central overlap is the natural beachhead; Pacific is planned honestly through midnight SAST at standard rates.

FAQ

How much does a virtual assistant cost in the USA with VAConnect?

Published dedicated Marketing and Sales packages are $1,088, $2,088, and $3,288 per month (40 / 80 / 150 hours). EVA, PM, Carol, and Invisible Team packages have their own published bands on pricing.

Are calling costs included?

No. Calls are not included. You supply the calling system and US number; you keep the number, data, and records. Platforms and travel are also client-side.

Why isn’t this priced like an hourly marketplace?

VAConnect is a managed agency. The retainer funds screened South African talent, Boiler Room shortlisting, onboarding, dual success managers, VAVarsity, Atomic Energy, SOPs, and a replacement path — month to month. Marketplace hourly boards are a different product.

Do night or late US hours cost extra?

Coverage through midnight SAST is at standard package rates — no night premium before that cutoff. We’ll map your ET, CT, or PT window on discovery.

Which pricing model should I choose?

Choose by how often the work repeats. One-off jobs suit pay per task or a marketplace hire. Ongoing work that needs context, such as inbox, CRM or reporting, suits a dedicated monthly seat, because the same person learns your tools and keeps that knowledge.

Does the price change with the role?

Yes. Marketing and Sales packages are $1,088, $2,088 or $3,288 a month for 40, 80 or 150 hours. Executive assistant and remote project manager seats are $1,288, $2,188 or $3,880. Carol programme executive assistants start at $1,688.

Is there a long contract?

No. Month-to-month, with one month’s notice either way. Billing begins from onboarding, and screening and interviews are not billed as a separate match fee in the standard managed model.
